About our customer

The Ministry of Foreign Affairs serves as the central authority in managing Sri Lanka’s diplomatic relations and international engagements. In 2013, it was tasked with organizing CHOGM—a global summit bringing together heads of state and dignitaries from across the 56- member Commonwealth of Nations.

Challenges addressed 

Organizing a multi-location, high-security international summit required a robust digital solution that could:

• Accredit thousands of delegates and heads of state securely and efficiently 

• Manage hotel accommodations and delegate logistics in real time 

• Plan ceremonial seating with precision and protocol adherence 

• Enforce role-based access across event venues with traceability 

• Ensure end-to-end security and event coordination across multiple agencies

EWIS designed and deployed a centralized Event Management Platform that digitized the entire delegate experience and ensured operational efficiency. Key features included: 

• Online Accreditation System: Secure registration for heads of state, delegates, and service personnel 

• Hotel Booking & Logistics Management: Real-time assignment and tracking of accommodations for international guests 

• Event Scheduling & Seating Plan: Protocol-sensitive planning tools for ceremonial seating and event flow 

• RFID-Based Access Control: Privilege matrix enforcement at every venue with RFID gate integration 

• Secure Digital Credentials: Issued to each attendee based on access level and role ∙Central Command Dashboard: Enabled live coordination among protocol, security, and logistics teams
